Seeking a Sales Coordinator

Office-Based | Victoria | Full-Time | Long-Term Opportunity

We are a small, family-run real estate business seeking a highly organised and detail-focused Sales Coordinator to support our sales team from electronically signed sales authority through to settlement.

This is a key role within our office and would suit someone who genuinely enjoys structured processes, repeated tasks, and seeing a job through properly. If you take pride in doing things well, enjoy supporting others, and are looking for a long-term role where you become an integral part of a close-knit team, this could be an excellent fit.


About the Role

As Sales Coordinator, you will manage and track every stage of the sales process to ensure nothing is missed. You will work closely with listing agents, vendors, legal advisors, suppliers/trades, buyers, and internal team members to ensure each sale progresses smoothly and on schedule.

This is a fully office-based role and does not require a real estate licence.

Full training will be provided on our systems and established processes, including Agentbox/Reapit, Trello, and Outlook to name a few.


Key Responsibilities

  • Supporting agents throughout the sales process from authority to settlement
  • Monitoring timelines and ensuring all steps are completed accurately and on time
  • Liaising with vendors, legal advisors, suppliers, buyers, and internal staff
  • Ensuring each sale progresses in line with our established detailed and specific office processes

The Right Person Will Be:

  • Extremely detail-oriented and process-driven
  • Comfortable with repetitive tasks and structured workflows
  • Confident communicating with a wide range of people
  • Caring, reliable, and takes pride in their work
  • Able to work autonomously while being a strong team player
  • Seeking a long-term position, not a short-term role

Previous real estate experience is advantageous but definitely not essential. The most important qualities are an exceptional work ethic, a positive attitude, a kind-hearted approach to others, the ability and willingness to admit when you've made a mistake and make things right, strong attention to detail, openness to critique and feedback, a willingness to follow structured processes, and a genuine desire to do your job well.
